4. Purpose of personal data use

Personal data is processed for the management, maintenance, analysis, and development of customer relationships and other relevant connections, including:

  • Customer information maintenance
  • Rental ledger maintenance
  • Customer surveys, such as satisfaction surveys
  • Maintenance of apartments and sharing necessary information with maintenance companies in a contractual relationship with the controller
  • Collection of rent and other housing-related receivables
  • Termination of lease agreements

Additionally, personal data may be used for customer communication and for planning and developing the controller’s business operations.

5. Register content

The register may process the following personal data and changes to it about apartment applicants, recommended customers, tenants, and potential co-tenants:

Basic details, such as:

  • name
  • social security number
  • contact information (addresses, phone numbers, email addresses)
  • gender

Customer and other relevant relationship details, such as:

  • Customer number
  • Start date of the customer relationship
  • Number of people living in the same household
  • Names and social security numbers of spouses living in the same household
  • Names and social security numbers of cohabitants living in the same household
  • With the consent of the registered person, the first and last names and social security numbers of persons living in the same household
  • Information about the co-applicant’s permission given to the registered individual to provide their personal data to the controller
  • Information about a possible legal guardian
  • Information about employment, duration and nature of the employment relationship
  • Income and asset information
  • Credit information
  • Debt restructuring information
  • Collection information
  • Information about the previous apartment before the current tenancy
  • Information regarding the need for an apartment
  • Information related to the tenancy including rental agreement details, rent payment details, security deposit details, and terminations of the tenancy
  • For minor tenants, identification information of the guardian who signed the lease agreement
  • Complaints, feedback, and other customer relationship and relevant contact communication and actions, including recordings of phone calls
  • Marketing actions targeted at the registered individual, their usage, and information provided in connection with them
  • Bank account information related to the termination of the tenancy
  • Direct marketing permissions and prohibitions

Regular sources of information

Information is collected from the registered individual themselves, including from rental housing application forms and electronic services.

Personal data may also be collected and updated from other personal registers of the controller, from clients terminating their service, from the controller’s partners, as well as from authorities and companies providing personal data services, such as the Väestörekisterikeskus and credit information from Suomen Asiakastieto Oy’s credit information register.

7. Disclosure and transfer of information

Information is not, as a general rule, disclosed outside of Aspakoti. Information may be disclosed within the limits allowed and required by current legislation, for example, to contractual partners conducting collections on behalf of Aspakoti, as well as to parties who are entitled to the information according to legislation. Additionally, information can be disclosed to maintenance, security, and locksmith services, as well as electricity and network providers, to deliver services related to housing.

If the ownership of the apartment is transferred to a party outside of Aspakoti, Aspakoti may disclose necessary information for the management of the tenancy to the new owner.

Information is not transferred outside the territory of the European Union member states or the European Economic Area.

8. Register protection

The electronically processed data contained in the register are protected with firewalls, passwords, and other necessary technical means generally accepted in the field of information security at the time.

Manually maintained materials are located in premises where unauthorized access is prevented.

Only identified employees of the controller and those acting on its mandate and behalf, who have signed a confidentiality agreement, have access to the information contained in the register, through individual access rights granted by the controller.

9. Inspection, prohibition, and correction rights

The registered individual has the right, in accordance with the Personal Data Act, to inspect what information about them has been stored in the register. The request for inspection must be sent to the person handling register affairs and must be in writing and signed. An inspection request can also be made in person at the premises of the controller.

The registered individual has the right to prohibit the processing and disclosure of their data for direct advertising, distance selling, and other direct marketing as well as for market and opinion research by contacting the controller.

The registered individual has the right to demand the correction of incorrect information by contacting the controller.
